Job Overview

The Senior Expeditor will report to the Project Procurement Manager (PPM) and is responsible for the overall expediting activities and documents (VDR and SDRL) with Vendors through in-house desk expeditors, field expeditors and expediting agencies. The selected candidate will proactively analyze Vendor schedule with Package Engineer and PQM to ensure a realistic schedule to mitigate any delays in the delivery by alternative resources.

Key Tasks And Responsibilities

  • Identify with vendor detail list of sub-vendors at early stage of order
  • Efficient and effective expediting to ensure timely delivery of high quality equipment packages, materials, associated documentation within schedule within the parameters of, and in compliance with the Company’s Operating and Quality Procedures
  • Responsible for the following activities (but not limited to):
    • Issue Project Expediting Plan based on the Project Procurement Plan
    • Issue project expediting reports timely
    • Review reports issued by field expeditors
    • Attend project meetings with internal stakeholders
    • Attend project procurement review meetings with Client
    • Liaising with other MDR departments to expedite documents review and approval
    • Expedite all equipment, materials and documentation as per the PO, SDRL and Expediting Plan to meet project schedule requirements
    • Expediting documentation both from Vendors as well as MDR internal approvals
    • Monitor the progress of orders with the vendors and take appropriate actions to ensure timely delivery of materials
    • Follow up with sub-vendors if required to facilitate the progress of work
    • Coordinate with PMT, Engineering, QC, Client and other departments to address all expediting related issues
    • Highlight/escalate concerns to Project Expediting coordinator/PPM/PE/Buyer/PMT
    • Identify field expediting visit requirement and manages field Expeditors
    • Owns the materials expediting schedule updated weekly
    • Monitoring Vendors (and Sub Vendors as required) performance to ensure equipment, materials, and documentation is of the required quality and highlight issues that may arise in priorities, workload, competence, schedule, ETAs, potential use of sub-vendors
    • Liaise with Logistics to arrange for Transportations/shipments
    • Ensure receipt of final documentation from vendors in time and acceptance of the same by PMT
    • Ensure vendors have access to and use the MDR Vendor portal
    • Liaise with vendors for securing required bank guarantees and responsible for keeping it active till for the life cycle of the order and till the warranty period is completed as applicable
    • Coordinate and close out OS & D, GRN issues and issue MCCs as required
    • Ensure vendor invoices related issues are sorted out on time and follow up with accounting for payments
    • Facilitate PO close outs
    • Attend any other tasks assigned by the PPM
  • Expectations:

    • Review and knowledge is timely and ongoing
    • All communication with PMT / Clients / Vendors / Sub Vendors is tactful, friendly and respects confidentiality
    • Analysis is timely
    • Meetings are timely, complete and documented
    • Investigations are documented, timely, accurate and complete
    • Follow up actions are timely, complete and documented
    • Liaison with outside services is timely accurate
    • Follow up and support is timely and complete

Essential Qualifications And Education

  • Engineering Graduate or Equivalent
  • +10 years of experience in Oil & Gas material expediting
  • Fluency in English language is a must
  • Working knowledge of Arabic language would be an advantage.
