Responsibilities
The American Heart Association (AHA) has an excellent opportunity for an Administrative Associate in our Fayetteville office. Under the direction of the Executive Director, this position supports all campaign activities, event budgets and logistics for all fundraising activities for the Northwest Arkansas area, to include: Heart Ball, NWA Sweethearts, Heart Walk, Go Red for Women, CycleNation, and other supporting events, including all Northwest Arkansas office activities.
Essential Job Duties:
Supports the Executive Director and the Board of Directors to organize, coordinate, and track activities to achieve Gold Standard Board. Work in parallel with office leadership (event leads & Executive Director.
Handles customer and campaign information utilizing AHA systems (E1, Dynamics, Greater Giving, Luminate, etc.) accurately, timely and in full compliance with established AHA business standards and data guidelines.
Leads financial support for the market to include invoicing, collections, and contract uploads. In addition, monitors and tracks direct and indirect expenses for fiscal year and end of year across events.
Assists in the overall timeline management, planning, implementation, and evaluation of night of event logistics.
Maintains calendars, schedules meetings and makes logistical arrangements necessary for internal and external meetings.
Works with event leads to achieve their overall look and feel of the events, helps with all design elements of the event; this includes the creation of print and digital marketing collateral – signage, invitations, etc.
Volunteer recruitment and management as they relate to event logistics and on-site volunteer management and determines the amount of volunteer support needed for each event.
Other duties as assigned by supervisor.
Qualifications
Required Skills
High school diploma or GED equivalent required. College Degree preferred.
2 + years of related experience is required.
Proven ability to work and make decisions quickly and independently with little supervision.
Extremely strong interpersonal skills, particularly regarding the judgment, discretion, confidentiality, patience, and understanding necessary for dealing effectively with a diverse body of volunteers, donors, and professional colleagues.
Ability to work in a team environment and interact with all levels of AHA staff, volunteers and the public.
Ability to conceptualize, reason through problems, make effective decisions and develop alternative solutions.
Proven organizational skills, detail oriented and experience handling sensitive and confidential information.
Skilled in effective oral and written communications including conversing by telephone, business writing with clear and concise narrative reports, evaluations and other narrative pieces.
Must have intermediate knowledge and skill with Microsoft Office 2010 used for word processing, email, presentations, and spreadsheets. Advanced knowledge and skill with these programs is preferred.
Ability to work evenings/weekends when necessary for events.
Ability to lift 20lbs from ground to waist level with or without reasonable accommodation.
Must be at least 18 years old.
